Update Canned Email Template Content

Refer to the Updating Emails section for instructions.

Update Form Reminder Timing

Reminder timing is based on the delay after the previous reminder, not the original send date.

Each delay must increase. If not, reminders will send out of order.

Incorrect Setup:

  • Send form for the first time — Day 0
  • 3 days after form not completed — First reminder (sends on Day 3)
  • 1 day after form not completed — Second reminder (sends on Day 1, not Day 4)

That “1 day” reminder would attempt to send before the 3-day reminder.

Correct Setup:

  • Send form for the first time — Day 0
  • 2 days after form not completed — First reminder (sends on Day 2)
  • 3 days after form not completed — Second reminder (sends 3 days after Day 2 = Day 5)
  • 4 days after form not completed — Third reminder (sends 4 days after Day 5 = Day 9)

Each number must be larger than the one before it.

If you update the schedule, make sure the reminder delays increase sequentially. Otherwise, Dubsado will reorder them in ways you don’t expect..

Update To-Do Content

  • Do not remove To-Dos. They are used to control workflow timing and prevent premature actions.
  • If reminders are unnecessary, open the step and disable Send email reminder.

When Updates Apply

Workflow updates apply to new projects moving forward.

They do not apply to active projects unless you use the Update Project Workflows button.

Use with caution. This action follows specific rules and cannot be undone.

How It Behaves

  • New action added: Added to all active project workflows, even if that point has already passed.
  • Existing action edited: Updates only apply if the action has not yet been completed in the project.
  • Completed workflows: New actions are added but not executed. Use Force Now if needed.

Additional Considerations

  • If an action was deleted inside a project but still exists in the template, it will be re-added when updating.
  • If a payment plan was modified inside a project, updating may restore the original template version.

Because each project may be at a different stage, results  can vary.
